Terms and conditions of Trade

Hereunder referred to as EIA.
 
”the client” means the person(s) name(s) on the booking reservation forms (whether it is a provisional or confirmed reservation) and who contracts with EIA on the terms and conditions hereunder. The client shall also include any agent who makes any booking of third party clients in respect of a reservation. Such agent, a s well as the person(s) named on the provisional and confirmed reservation form, shall be jointly and severally liable to EIA for the performance of their obligations in terms of these trading conditions, as well as any contract(s) made pursuant thereto.
 
Clients are to provide us with the full details of their or their client’s requirements, interests, special requests, dietary requirements, religions and physical disabilities if any. Our proposal and final products quality hinge on the accuracy and content of the submitted brief/ enquiry. EIA must reserve it’s right in this regard.
EIA will not accept any responsibility whatsoever for clients who may not fully enjoy the product / services as a result of us not receiving correct or insufficient background information.
 

BOOKING PROCEDURE –Accommodation

To confirm a provisional reservation for services required by a client, the client shall complete in writing and dispatch to EIA a provisional booking enquiry form. The client shall pay EIA a non-refundable deposit of 30%(thirty percent) of the quoted cost of services. All payments to EIA shall be made not later than 48 (forty eight) hours after confirmation, of a booking, by a client. In the event of the deposit not being paid the provisional booking shall lapse. The balance of the monies is due 60 (sixty) days prior to departure, upon receipt of this, the provisional booking will be confirmed.
 

BOOKING PROCEDURE – Events & Weddings

EIA understands that EIA will obtain quotations from its suppliers and will obtain the clients approval before implementing the final selection. Quotations will be completed and submitted within 72 (seventy two) hours. If we expect a delay, we will advise accordingly. Quotations will be given in SA Rands and will be subject to change, if costs change beyond our control. All purchases made through EIA will be billed at retail prices plus VAT. No purchase shall be made without the client’s prior written authorisation plus receipt of a minimum deposit of 60% of the retail price. The balance plus delivery charges will be due immediately on delivery.
If we don’t receive any single payment within 5 (five) calendar days of the due date we shall cease working on the event.
 
 
All payments to be made by a client to EIA shall be free of exchange, deduction, set-off or whatsoever nature. All payments can be made directly into EIA’s account. All bank charges are for the remitters account.
 
Any revision in quotes will commensurate with the change in currency exchange rate or the increase in the amounts payable. In the event of a client disputing the quantum of such an increase, it shall be referred forthwith to the accounting officer of EIA for determination, who shall act as expert and not arbitrator and whose decision shall be final and binding on EIA and the client, and accordingly not subject to appeal.
 
EIA has the right at any time, and at its sole discretion to amend or cancel any of the services or the remainder thereof, or to make any alterations in route, accommodation, transportation arrangements in the event of services or part thereof being rendered impossible, illegal, inadvisable due to force majeure, the definition of which includes war, strike, civil strife, riot, fire, natural or nuclear disaster, industrial dispute, adverse weather conditions, governmental interference or any other external circumstances beyond EIA’s control.
 
As a result of an alteration to or cancellation of itineraries any extra accosts occasioned shall be payable by the client to EIA on request
 
EIA recommends that clients insure against loss of deposit and cancellation fees that may be levied by us, or our contracting suppliers. The client shall be responsible for arranging and effecting adequate insurance cover to ensure that he carries comprehensive travel and medical insurance cover in order to cover himself, his dependants and or traveling companions for the duration of the booking for which he has reserved.
 
The client consents to the risks inherent in wildlife adventure and safari travel and warrants that he is aware of such risks and undertakes the tours, safari’s, wildlife and other excursions in connection with the services with full knowledge and appreciation thereof at his own risk.
 
It will be the client’s responsibility to ensure that all passport, visa and health regulations are in order for entry: multiple entry and return. The passenger(s)
Airline(s) or other carrier’s tickets when issued shall constitute the sole contract between passenger and the airline or other carrier.
 
Neither Events-in-Africa cc, their owners, nor any agent supplier or person contracted shall be liable for any loss whatsoever, damage to baggage and property, inconvenience, delay, cancellation, deviation, alteration, sickness, injury or death whether such a loss be a result of negligence or not. ‘Acts of God’ and factors beyond our control remain exclusions of our responsibility.
 
We strongly advise clients take insurance against such eventualities.
 
*Contracting of our services constitutes full agreement and acceptance of our conditions of trade.
